See your referral
scheduling gap.
Use two numbers to see how many referrals are still waiting for an appointment. Then explore a scheduling scenario for your practice.
Your referral numbers
Use referrals received in the same month, allowing enough time for scheduling.
The received-referral group you want to review.
Measure scheduling for the same received-referral group.
Count referrals from the same group, not all appointments booked this month.
Add workflow context optional
Context only. These inputs do not change the estimate.
Practice-level totals only. Never enter patient information.
Your scheduling picture
A clearer view of your referral flow.
Enter your referral numbers to see the gap, compare a scenario, and take a useful summary to your team.
Unscheduled referrals are not necessarily lost or recoverable. Some may still be in review, duplicates, or scheduled elsewhere.
What if scheduling improved?
Your assumptionExplore a higher scheduling rate. This is a scenario, not a prediction.
Add a visit-value scenario optional
A scheduled appointment is not a completed visit. Add both assumptions to explore illustrative value.
Of additional scheduled appointments.
Your estimates only. This is not realized revenue or a savings forecast.
Two questions to bring to your team
- Who owns incomplete packets and the next follow-up?
- Which referrals are pending, closed, or scheduled elsewhere?
Map one referral workflow.
Review the intake gaps, document handoffs, and next actions with your operations team.
Understand the numbers.
How is the scheduling gap calculated?
Not yet scheduled = referrals received minus referrals scheduled. The scenario adds referrals received × (scenario scheduling rate minus current scheduling rate). It is bounded by the current unscheduled group and a 100% scheduling rate.
Counts are estimates, rounded for display. Use referrals received in the same period and allow enough time for scheduling. A new referral may simply be waiting for the next step.
Can I enter a count instead of a percentage?
Yes. Choose “I know the count” and enter how many referrals from the same group were scheduled. The tool calculates the scheduling rate for you.
Are all unscheduled referrals recoverable?
No. Some referrals are duplicates, not appropriate, deferred, canceled, under review, or scheduled elsewhere. This tool does not determine the reason or promise an appointment outcome.
Where do my inputs go?
Calculations happen in your browser. This tool does not send or save your referral totals, financial assumptions, or results. Do not enter patient information.
With your consent, the website can record that the tool was started or completed. Those events do not include calculator inputs or results. Copying and printing happen only when you choose them.
